1. Introduction

This Privacy Policy explains how PortProcure (“PortProcure”, “we”, “us”) collects, uses, shares, and protects information when you use our website at portprocure.com and the related maritime supplier directory, vessel-operations hub, and procurement services (together, the “Platform”). By using the Platform you agree to the practices described here.

2. Who we are

PortProcure operates a global maritime platform that lets vessel operators find suppliers, track vessels and ports, and run procurement (request-for-quote) workflows. For any privacy question, or to exercise your rights, contact us at noreply@portprocure.com.

3. Information we collect

Account information. When you register we collect your name, email address, account type (buyer or supplier), a securely hashed password, and email-verification status.

Listings and business data. If you publish a supplier listing we collect the business details you provide — company name, description, categories, location, contact details, logos and images, and social links.

Procurement data. When you use RFQ/quote/order features we store the requests, quotes, purchase orders, invoices, receipts, and related line items and attachments you submit.

Uploaded files. Images and documents you upload (logos, cover images, avatars, invoice and receipt files).

Usage and device data.With your consent (see Cookies & analytics), we collect standard analytics such as pages visited, referring links, approximate location, browser and device type, and interaction events.

4. Cookies and analytics

We use a strictly necessary session cookie to keep you signed in. We use Google Analytics 4 (GA4) to understand how the Platform is used. GA4 loads only after you click Accept on our cookie banner; your choice is stored locally in your browser (pp-analytics-consent) and you can change it at any time. If you decline, no analytics cookies are set and no analytics data is sent.

5. How we use information

We use information to operate and secure your account; publish and moderate listings; run RFQ, quote, order, and invoice workflows; send transactional emails (verification, password reset, notifications); provide analytics and improve the Platform; and comply with legal obligations.

6. Email and marketing

Transactional emails (account, verification, notifications) are part of the service. Marketing and newsletter emails are sent only with your consent — our newsletter uses a double-opt-in confirmation, and every marketing email includes an unsubscribe link and a List-Unsubscribe header. You can withdraw consent at any time.

7. Contact-gating

To protect suppliers from scraping and spam, certain supplier contact fields (contact person, email, phone, address, opening hours) are shown only to signed-in users and are never exposed to anonymous visitors or returned by our public API.

8. Third-party services

We rely on trusted third parties who process data on our behalf or provide functionality:

Resend (transactional and marketing email delivery); Google Analytics (consent-gated usage analytics); CARTO / OpenStreetMap (map tiles); MET Norway (weather data); AISStream and vessel-data providers (vessel positions); and, when payment features launch, PayPal (banner-advertising payments). These providers have their own privacy policies governing their use of data.

9. How we share information

We do not sell your personal information. We share it only with the service providers above, where you choose to publish it (e.g. a public listing), where required by law, or as part of a business transfer. Buyer and supplier identities are shared with each other only as needed to complete an RFQ or transaction you initiate.

10. Data retention

We keep personal information for as long as your account is active or as needed to provide the Platform, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion as described below.

11. Security

We protect information with measures including encrypted transport (HTTPS), hashed passwords, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

12. Your rights

Subject to applicable data protection laws, you may request access to, correction of, or deletion of your personal information; object to or restrict certain processing; withdraw consent; and request a copy of your data. To exercise any right, email noreply@portprocure.com.

13. International transfers

The Platform operates globally and your information may be processed in countries other than your own. Where applicable data protection laws require it, we take steps to ensure appropriate safeguards for such transfers.

14. Children

The Platform is intended for business use and is not directed to children. We do not knowingly collect information from anyone under 16.

15. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where appropriate, by additional notice.
